Minutes of the June 6, 2009 Executive Committee Meeting
THE DEMOCRATIC CLUB OF CLAREMONT Meeting of the Executive Committee Minutes – June 6, 2009, 9:30 AM Scrooby Lounge ATTENDANCE: Zephyr Tate-Mann, chair; Lois Thompson, Debi Evans, Bob Gerecke , Gar Byrum, Mike Davis, Ned Freed, Ted Radamaker, Betty Cramer, David Levering, Laura Ditte Lo and Carol Whitson. Carolee Monroe distributed July 4th information and left before the meeting was called to order. DECISION ITEMS: MSA: The May 2, 2009, ExComm minutes were approved with one correction and the May 25 General Membership minutes were approved as submitted. MSA to accept the Treasurer’s Report submitted by Debi Evans. Debi has opened the Wells Fargo account with membership dues of $505.00. She reminded the Exec Comm that we also need to be up to date on our dues. Debbie has paid about $1500 in outstanding invoices which leaves only the upcoming Voice expense which is not due yet. She is entering our income and expenses into Quicken to prepare for easier budgeting. In reviewing the accounts, Debi realized that we need to make changes in our records for proper accounting for donations to the Warner campaign and amend our filings to the FEC. She is also now certain that the clubs that participated with us in the HQ will need to get FEC numbers before we can share any of the HQ donations with them and then we will need to amend the FEC filing to account for those disbursements. David Levering complimented the wonderful discussion by the Veterans Panel at the General Membership meeting on May 25. Darcel Woods took lots of pictures at the event which will be posted to our website. MEMBERSHIP COMMITTEE: Debi and Zephyr have started working on the database of “members” and those others to whom we send mail. Many people have not renewed their membership with dues payments as yet. Z&D also discovered that some members belong to other or no political parties. Our ByLaws require that all of our members be registered Democrats. Committee Suggestions: (1) We may need an option for ‘Newsletter Only’ recipients who could be charged a fee to cover the cost of printing and mailing. (2) Rather than use the club application with Volunteer Opportunities on the reverse, it may be better to call the members to determine what they may like to volunteer for. This personal touch should result in more willing volunteers as well as a feeling of inclusion in a welcoming Club. Mixer: Time change to 2-6 p.m on Sunday, June 28th. Final planning meeting to be announced. Reviewed proposed announcements to go into Courier and for email distribution. Carol suggested that Daily Bulletin also be utilized. Mike Davis will contact John Perez with LACDCC to do voter registration at the Fairplex. Zephyr consolidated information about the location of DCC inventory (attached). Most of our items are held in the storage unit at Arrow and Bucknell, Claremont. The Amendment to the ByLaws for between-meeting expenditures of up to $250 will be put on the agenda for the June 29 General Meeting. July 4th Booth and Parade – Carolee left information and proposed “Ba-Rock Care instructions” for review and comment/suggestions. She still looking for banner carriers and 3 persons for a Fife and Drum group. SUMMER MEETING SCHEDULE: (MSA, Mike) Exec Comm Meetings - NO in July, YES in August Luncheon Meetings - None in July or August General Membership - YES in July, NO in August DCC COMMUNICATIONS: MSA: That a Disclaimer shall be published on the Club WEBSITE and added as a footer on emails to the MEMBERS LIST and the OPT-IN LIST and in the VOICE newsletter. Wording for the newsletter can be abbreviated by Laura Lo to reflect this message. MSA (Bob) that the final wording reflect the changes in bold. POLICY STATEMENT FOR COMMUNICATIONS It is the policy of the Democratic Club of Claremont not to censor any member’s or officer’s expression of freedom of speech on any issue or subject matter. The Club’s policy is to foster dialog for the benefit of educating the public. However, it is also the policy of the Club not to have any member give the reasonable appearance that his/her opinion represents the opinion of the Club unless he/she has been authorized to express such opinion by the general membership or the Executive Committee or the President, which must take place prior to his/her publicly expressing that opinion on such issue or subject matter. [end of Policy Statement] Zephyr provided a list of speakers who had volunteered to address our General Meetings. Gar and Debi cautioned that we should be sure to offer a balance in the subject matter and speaker bias when we consider who to invite. Zephyr received a letter from the Young Democrats regarding a fundraiser. We will invite them to our Exec Comm meeting. Gar Byrum volunteered to be a liaison with the Organizing for America group in our area. E-mail concerns will be revisited after the lists of names are scrubbed to organize people into groups according to their level of membership (or non-membership) in the club.
