Minutes of the May 2, 2009 Executive Committee Meeting
THE DEMOCRATIC CLUB OF CLAREMONT Meeting of the Executive Committee Minutes – May 2, 2009, 9:30 AM Scrooby Lounge ATTENDANCE: Zephyr Tate-Mann, chair; Lois Thompson, Carolee Monroe, Debi Evans, Bob Gerecke , Gar Byrum, Mike Davis, Ned Freed, Ted Radamaker, Darcel Woods and Carol Whitson. DECISION ITEMS: MSA: The April 4, 2009, ExComm minutes and with one correction, the March 30 minutes were approved. MSA to accept the Treasurer’s Report submitted by Debi Evans. Debi is preparing to transfer our accounts to Wells Fargo since lst City Credit Union is prohibited from issuing ATM cards to us. She has also requested a meeting with Kinde Durkee accountants who specialize in clubs such as ours who need FPPC and FEC reporting. Then KD will become Treas and Debi will become Controller. KD cost is $25/mo plus $25/report plus out of pocket expenses. Debi explained that chartered clubs must have a FPPC number and usually a FEC number. Until the clubs who shared our HQ obtain those numbers we will not be able to share a portion of the HQ donations with them. MSA (Carol, Carolee) to reimburse Merrill $100 + tax for rental of a PC used for online submission of information to the FEP. Our Mixer to promote new Club memberships will be held on Sunday, June 28 at the Freed’s house. A planning meeting will be held at Debi’s on Sunday, 5/3 at 2:00pm The Amendment to the ByLaws for between-meeting expenditures will be put into the Voice prior to being voted on at a General Meeting. Updated AdHoc Committee list was emailed to all by Zephyr. Mailing of Voice: Cost of printing is $130 for 240 copies with 8 sides. Mailing cost is $.24 if we mail at least 200. Our actual number now is 209. Carolee recommended reviewing the number of pages vs the cost. July 4th Booth will again be handled by Carolee Monroe. We have reserved one booth which costs $75 with no food, will use Rudy’s truck decorated as a float. Our General meeting is on Memorial Day and our program will be a discussion by a panel of veterans. A suggestion was made to reschedule the Genl Meeting time to 7:00 pm. because we often have too little time for business. This will be on the May 25th agenda. There will be no general meetings or luncheons in July and August. HQ Report: Bob Gerecke and Rudy Mann reported that funds derived from the HQ operation total $12,600. They propose a loan of that money to the PAC, FACTT for the purchase of a permanent HQ. An additional $3300 may also be available if the other clubs who joined us at the HQ do not obtain their FEC/FPPC numbers. MSA (Bob, Lois) DCC will loan $12,600 to FACTT (PAC) at 0% interest for the purchase of a HQ Building. Other terms to be named after consultation with Kinde Durkee. Discussion of our Email procedures regarding the sharing of Club information and announcements of events as well as articles and news stories which may (or not) be of general interest to our members. In addition there may be occasions when discussions of issues between members are distributed. Our goal is to distribute only what is appropriate to the recipient based on his interest and membership status (regular member or Exec Committee) We currently have an three mailing lists: ANNOUNCEMENTS – for DCC related information, meetings, Democratic functions and activities only.
