Mnutes of the April 4, 2009 Executive Committee Meeting

Meeting of the Executive Committee
Minutes – April 4, 2009, 9:30 AM Scrooby Lounge


ATTENDANCE: Zephyr Tate-Mann, chair; Lois Thompson, Carolee Monroe, Bob Gerecke , Gar Byrum, Ned Freed, Ted Radamaker, Merrill Ring, Darcel Woods and Carol Whitson. Visitors were: Gwen Carr, Janice Nelson and Paul Scott.

DECISION ITEMS:

MSA Upon a motion by Carolee, the minutes of the March 7 and March 30 meetings were approved.

Treasurer’s report was not available due to Debi’s absence with her surgery.

MSA Gar moved that we amend the ByLaws to give the President and Treasurer the authority to spend up to $250 between meetings.

MSA Ned moved that we prepare a disclaimer to disclose the email options a recipient’s options for receiving or changing the mail he receives.

MSA Gar and Merrill moved that Debi be authorized to meet with Kinde Durke who will be able to prepare our filings and accounting reports.
Carolee requested reimbursement of $46 for PO box renewal and the Earth Day Booth fee.

Carolee requested direction on the proper distribution of the mail she picked up from our mailbox: for now, Bob G will get returned mail so that he can continue “cleaning up” the database, Debi gets checks and member renewals. Carolee will email Carol the which Volunteer activities were selected by the new or renewing members. Merrill has received some mail from the Federal Elections committee and will follow up with them.

MSA: Bob moved to reimburse Merrill $768.13 for the purchase of the projector and screen needed by Adnan and Barbara Aswad and several other speakers.

MSA: Gar moved to reimburse Merrill for the extra bill he had to cover at El Ranchero at March’s luncheon. The restaurant realized its mistake and will discount the April bill.

MSA: Gar recommended that we guarantee El Ranchero 30 lunches as we did with the previous restaurant.

Paul Scott, who is a candidate for CDP Region 11 Director made a presentation with his ideas about how to target newly registered Democrats and make sure they take their new political enthusiasm all the way to the polls. He will emphasize the newer technologies such as Facebook, MySpace, Twittering and Texting to maintain contact all the way to the voting booth. Janice Nelson also emphasized more contact with new citizens and she endorsed Paul Scott.

Our first Mixer is scheduled for Sunday June 21 (4-7pm) at the home of Ned and Tamara Freed. Carolee reminded us that we will need an insurance rider.

Zephyr introduced Darcel Woods who has recently joined our Club. She is a coordinator for the Dept of Public Safety and also serves on the Board for parole Hearings. MSA, Lois recommended both Darcel and Mike Davis be appointed to the Executive Committee.

Ethel Benton has informed Zephyr that she no longer wishes to be on the Exec Committee though will continue to serve on the Hospitality committee.

Zephyr recommends that we obtain and review a complete set of ByLaws with all of the recent updates.

MSA: Zephyr recommends that we appropriate $25 for cards for the Sunshine Committee to have on hand so that illnesses, deaths, etc can more quickly be responded to by the Club.

MSA: Gar and Ned recommend that we appropriate $600 for a donation to the LACo Central Committee for their JFK Dinner – their main fundraiser of the year.

Preparation for May 19 Special Election:

Gar Byrum and Andy Winnick will do a Forum presentation at the next General Meeting on April 27 and review the Props 1A thru 1F for the membership. The State Convention on April 24-26 should also offer some review of the ballot measures which Gar, who is a delegate, will report during the Forum.

MSA: Gar will begin tabling and presented some materials reporting Obama’s accomplishments for handout. Bob and Ned agreed to give him some additional information.

Earth Day Celebration in Claremont on April 26, 2009: Carolee will prepare the materials for our booth – perhaps a presentation of wild flowers to attract butterflies.

Zephyr reminded everyone of the Democracy For America grassroots training which is being presented in Beaumont on May 30th- 31st, 2009 at the Oak Valley Holiday Inn Express. www.democracyforamerica.com/inlandempiretraining So far only Loretta Arenas has volunteered to go.
